Executive Assistant and Office Manager

Job Overview:

We are seeking a dedicated, dynamic, and diligent Executive Assistant who will also be the office manager/bookkeeper for our San Francisco office. The Executive Assistant will play a central role in keeping business, office operations and activities organized, on track, and moving forward. Daily activities will require the efficient management of multiple administrative tasks including executive calendar/schedule support, making travel arrangements, handling correspondence and Emails, electronic document scanning, meeting coordination, business metrics tracking/reporting, event coordination. Office management activities will include, but not be limited to, the procurement of office supplies and equipment, managing third party vendor relationships, expense reporting and control, bookkeeping, human resources administration, and special projects. Professionalism and discretion in handling highly confidential matters are essential to this position.

Background Requirements:


  • Extensive administrative experience at the executive level, supporting multiple senior staff professionals. Candidates must have experience working in a very demanding, fast-paced environment.

  • Experience in professional service firms such as financial, legal, accounting, or consulting companies.

  • Exceptional organizational and time management skills, attention to detail, and self-starter.

  • Intermediate to advanced computer skills (Word, Excel, PowerPoint, Outlook/Entourage required). Mac and NetSuite experience would be a plus.

  • College degree

  • Energetic personality

  When we first started negotiating the deal, the lawyers sent around an e-mail to all the investors asking who wanted to be the shareholder rep, and there was deafening silence.
